How to Search Cases by Name
One official route covers it. The Kansas District Court Public Access Portal offers a search mode called Smart Search. The alternate Kansas Case Search address leads to the same statewide service. Kansas help material says you must register an account first. Sign in before any search runs.
- Register or sign in through the official Kansas public portal.
- Open Smart Search and enter a record number or name.
- Complete the required reCAPTCHA check.
- Expand Advanced Filtering Options and select Sherman under Location.
- Choose party name, business name, nickname, or Sounds Like when that option fits the query.
- Submit, then compare the court and case number before opening a result.
A common last name can pull unrelated cases from all over Kansas. Use the Sherman County location filter to cut that noise. Also, keep birth dates, addresses, booking data, and similar identifiers out of any public list you make from the results.
Sherman County Smart Search Controls
The Kansas help documents, revised in 2025, lay out the portal's search fields in plain terms. Treat them as the authoritative inventory of Smart Search controls. What each filter does matters more than the portal's look on any given day.
| Control | Type | Required | Use |
|---|---|---|---|
| Record Number or Name | Text | Yes | Starts every Smart Search |
| I’m not a robot | reCAPTCHA | Yes | Must be verified before Submit |
| Filter by Location | Dropdown | No | Select Sherman for local District Court cases |
| Filter by Search Type | Dropdown | Conditional | Case, citation, party, business, attorney, judicial officer, or cross-reference searches |
| Case Type and Status | Dropdowns | No | Narrow broad result sets |
| File Date Start and End | Date fields | No | Limit by filing period |
The portal also offers date-of-birth, KBI, sheriff-office, and booking-number criteria. Those controls work, but they touch on private details. For a civic Sherman County court docket check, lean on a case number, party name, location, case type, status, or filing date range instead.
How to Search by Case Number
Nothing narrows a search like a full case number. Kansas uses the Odyssey format. It starts with a county abbreviation, a four-digit year, a case-type abbreviation, then a six-digit sequence. The state's own example from another county reads RL-2019-CR-000001. Sherman County's exact prefix is not stated in the official material. Do not guess at one.
Type the number exactly as a Sherman County notice or filing prints it. The Smart Search help also shows compressed forms. One example is 2019CV25. It shows a county-prefixed form too, such as RL2019CV25. Punctuation can depend on when the case was filed. If a copied number fails, use the help button. Or ask the clerk to confirm the format rather than inventing a prefix.
Note: A case number pins down the court file. It works far better than a party-name match ever can.
Sherman County’s 2022 Number Change
Sherman County sits in the Kansas conversion group. Its case-number cutoff is July 11, 2022. Cases filed after that date live on the centralized Enterprise Justice Odyssey system. They carry its number pattern. Older filings keep their older numbers and remain searchable that way. A failed current-format query on an older case is often just a formatting mismatch. It is not a missing record.
Documents changed too. Per the official Smart Search update, records converted from pre-Odyssey systems are not available through the web portal. Converted public documents can be viewed at a courthouse terminal instead. That does not wipe out all older case information online. A case header or events index may still appear. That can happen even where a document image does not.
Use the number on the record. Do not retrofit a pre-conversion Sherman County number into a guessed Odyssey format.
What a Case Search Shows
A Smart Search result opens the door to public case information and the events index. Kansas Supreme Court Rule 21 defines that index. It is a chronological list of filings, actions, and events. Many people call it a register of actions. The index helps you track a case. But it is not the full court file, and it does not contain the text of each order.
| Case number | The court’s identifier for the file and filing period. |
|---|---|
| Caption or parties | The public case style, subject to privacy limits. |
| Case type | The broad category, such as civil or criminal. |
| Filed date | When the action began in the court system. |
| Status | An open, closed, or other current classification if shown. |
| Events index | Dated filings, settings, actions, and dispositions. |
| Document link | A public image when available, not a certified official copy. |
Read the newest event with care. A hearing setting is not a judgment. A document title is not the document itself. Kansas Rule 106B says a public electronic copy is not the official record; certified copies come from the Clerk of the District Court.
Sherman County Information Versus Documents
Three layers exist here: the case header, the events index, and the case documents. A search may reveal the case and its dated activity. Yet it may still block the document image. Family cases show that split clearly. Custody, support, divorce, and parentage case information may appear. The documents stay off the portal under the official update.
Need an older converted document? The courthouse public-access terminal is the next stop. The Sherman Clerk of the District Court can also handle a narrow request. Options include phone, mail, fax, in person, or in writing. Ask for the public events index or one named filing. Copy, mailing, fax, certification, and staff-time charges may apply, so request an estimate first.
An online image is handy. It is not a certified record. If a paper will be filed or formally relied on, ask the clerk. Ask which certified copy is available.
County vs Statewide Case Search
Sherman County runs no separate full District Court search portal of its own. Its state cases live inside Kansas Smart Search. The county-specific move is choosing Sherman as the location, then confirming the result with the Sherman Clerk. City ordinance matters take a different route entirely.
| Route | Covers | Best use |
|---|---|---|
| Kansas Smart Search | Public Kansas District Court case information | Known state case number or public name search |
| Sherman courthouse kiosk | Public terminal records, including available converted documents | Missing web document or in-person research |
| Sherman Clerk | District Court records filed in Sherman County | Confirmation, copies, certification, mail, or fax |
| Goodland or Kanorado city office | City ordinance and municipal traffic matters | A citation naming municipal court |
Federal cases run through PACER, not Kansas Smart Search. State appeals go to the separate Kansas Court of Appeals portal. Court level matters as much as the name you type.
When Sherman County Search Is Blank
A blank screen does not mean Sherman County has no court record. Check the spelling first. Try alternate spellings and a different number format. Confirm the case truly sits in District Court rather than somewhere else. A Goodland city citation, for instance, usually lives with Municipal Court instead. Documents converted before 2022 may only open at the courthouse kiosk. And sometimes the statewide service is simply down for maintenance. It may also be stuck behind a security check.
- Retry with the full case number from an official notice.
- Select Sherman rather than All locations.
- Check whether the citation names a municipal court.
- Use the courthouse terminal for an older public document.
- Ask the clerk whether a public access route exists.
Choose neutral words when no result appears. Rule or court order can restrict a case or its documents from public view. The clerk can walk an authorized requester through the correct process without revealing protected facts.
Restricted Cases and Access Rules
Kansas Smart Search leaves whole case types off the public portal. Adoption, protection-from-abuse or protection-from-stalking, and child-in-need-of-care dockets never show up there. Official sources likewise treat juvenile, expunged, grand-jury, certain investigation, search-warrant, probate, treatment, and mental-health materials as unavailable. Some are restricted in specified circumstances.
Kansas Supreme Court Rules 20 through 25 control electronic access, sealing, redaction, and expanded access for authorized users. Rule 24 puts the main redaction duty on filers and counsel. A document can be sealed while its public case header stays visible. Nobody should hop portals to dodge a seal.
Public access has limits. Ask for segregable public material and request the legal basis for any denial. Do not ask staff to reveal protected names, addresses, juvenile facts, or sealed exhibits.
Sherman County Lookup Fallbacks
For Sherman County state trial-court records, the Clerk of the District Court holds the docket. Don't confuse that office with the Sherman County Clerk, which runs county-government business. Call 785-890-4850. You can use the public terminal at the Goodland courthouse, or mail a narrow written request for a public events index or a named filing. One caution: official address sources disagree on the exact courthouse room. Confirm the destination before you travel or send anything by mail.
Clerk of the District Court
813 Broadway, Room 201
Goodland, Kansas 67735
Fax: 785-890-4858. Ask for current hours and the correct room before visiting.
When you write to the Sherman County clerk, keep the request narrow. That helps staff find the right court record fast. Name the public index or document you want. If you know the case number, include it. Ask that exempt portions be redacted. Also ask for a cost estimate before copies are made. Remember that a mailed or faxed copy is a records channel only. It cannot confirm an urgent court date.
